How to get couples to download their gallery

Why couples never download their wedding photos, the delivery email that gets them to, how to handle download PINs, when to remind, and how to bring family in.

Couples do not download their gallery because nothing makes them. The gallery is online, it looks permanent, the ZIP is 10 GB, and the PIN is in an email from 2 months ago. Fix that with 4 moves: give the download a deadline, put the instructions and PIN in the delivery email, send reminders keyed to your activity log rather than a calendar, and tell the couple to send parents the link instead of forwarding files. Photographers who do those 4 things rarely have a gallery expire undownloaded.

Why couples never download

The email that works

The delivery email has one job beyond delivering the link: make the download a task with a date. 4 lines do it.

Your full gallery is ready: [link]

Your download PIN is [PIN]. Use the Download button at the top of the gallery, choose High resolution, and do it on a laptop at home; the file is about [X] GB.

The gallery is online until [date]. Please download your photos before then and keep them in 2 places.

Reply “downloaded” when you have them, so I can check you got everything.

The reply request is the line most photographers leave out, and it is the one that works. A couple who has agreed to reply feels a small obligation, and the reply tells you who to stop reminding. Full wording, with the print and sharing lines, is in gallery delivery email templates.

Send it to both partners, on a weekday morning. Put the link in the first line.

PINs: keep them boring

Use a download PIN, not a viewing password, as the default protection on a wedding gallery. The viewing link goes to grandparents, friends and the planner; the PIN keeps the full-resolution files with the couple. That split is what lets the couple share freely without handing out your originals.

3 rules:

  1. Put the PIN in the delivery email and in every reminder. Never make them ask.
  2. Make it short and typeable on a phone. 4 to 6 digits.
  3. Do not reuse the viewing password as the PIN. If they are the same, the PIN protects nothing.

Reminders keyed to activity, not the calendar

Check who has downloaded before you send anything. A reminder to a couple who downloaded on day 2 tells them you are not paying attention.

5 emails at most, and only the couples who have not downloaded see the later ones. Most couples download after the 2-week note.

High resolution, not web size

A couple who downloaded the web-size set believes they are done. They are not, and they will find out when the 16x20 for the wall comes back soft. Say which button in every email: “choose High resolution, not Web size”. If the gallery offers both, the web-size option exists for guests, not for the couple.

Bring family in

Parents want the photos too, and a couple who tries to satisfy them by forwarding files gives up halfway. Tell the couple to send the link, not the files. Parents view on their own devices, favorite their own picks, and, if you allow it, download web-size copies for the fridge and the group chat. The couple keeps the PIN and the originals.

When they still do not download

Some couples never will, and the expiry date will arrive with nothing in the activity log. Offer a USB or a drive at a fixed price in the final reminder. Keep your own archive regardless; wedding gallery expiration policy covers what to do after the date and what to charge to put a gallery back.
