How to charge for online galleries in your wedding packages

Include the gallery in every package, itemize it on the quote, and sell extra hosting years, USBs and print credits as add-ons. With quote wording and 3 worked packages.

Include the online gallery in every package, price it into the package rather than as a separate fee, and itemize it on the quote as its own line with a hosting period attached. Then sell the things that cost you money or time as add-ons: extra hosting years, a USB drive, video hosting, and print credits. A couple in 2026 expects a gallery with high-resolution downloads the way they expect an edited set of photos. Charging separately for the gallery itself reads as a fee for handing over the work. Charging for keeping it online past 12 months reads as fair, because it is.

The exception to “include it” is a studio whose whole model is a la carte, where every line is priced and the base price is low. That works if it is consistent from the first quote. It does not work as a surprise on the final invoice.

What to itemize

Itemizing does 3 things. It makes the package look like more than 8 hours and some photos. It gives the expiry date a contractual home. And it means that when a couple asks for a discount, you have lines to remove instead of a number to shave.

Put the same lines in the contract. The delivery email repeats the expiry date. Wording for that is in wedding gallery expiration policy, and the release language that goes with the downloads is in print release wording for digital downloads.

Hosting duration and extra years

12 months from delivery is the standard. It covers the first anniversary, which is when many couples finally order the album. Shorter windows produce re-host requests. Longer windows cost you storage for galleries nobody opens.

Extra years are almost pure margin, so price them on what they are worth to the couple, not on what they cost you. The cost side is worked through in what a client gallery costs per wedding; for most photographers it is under $15 per wedding per year. As rules of thumb:

A print credit is an amount the couple can spend in your gallery’s print store, included in the package. It works because the couple values it at face value while it costs you the lab price of whatever they order, which is a fraction of that. A $100 credit that becomes a $100 order costs you perhaps $30 to $50 in lab cost and shipping, as a rule of thumb, and puts prints on a wall with your name attached.

Rules for credits that work:

Video

If you deliver a highlight film, host it in the same gallery as the photos, charge for it inside the video package, and give it the same 12-month window. A full ceremony edit is 5 to 15 GB, so extended hosting for video can carry a higher add-on price than for photos.

The gallery line is the same in every package. What changes is what is stacked on top of it. The couple never wonders whether they get their photos, only how much extra they want around them.

When to charge separately

Charge for the gallery as its own line, left out of the base price, only if you deliver by USB or download link as standard and the gallery is genuinely optional. A few photographers still do this for small elopement packages. If you do, a couple who declines it must still get their full-resolution files another way, on the delivery date, and the contract should say how.
